What goes on a painting invoice

Four details make this a painting invoice rather than a generic one. Each has its number in the sample’s margin, from the top of the page down.

    Coats and primer

    Two coats on walls and trim, and Kilz Original primer on the patched and stained areas. The number of coats is often what separates one painter’s price from another’s, so the invoice confirms what was applied.

    Brand, color and finish, by area

    Each area has its own row and its own chip: Pale Oak OC-20 in eggshell for the living room, Hale Navy HC-154 for the bedroom, Chantilly Lace in semi-gloss on the trim. When a wall gets scuffed next year, the customer can buy the exact paint without calling you.

    Prep, on its own line

    Surface prep, meaning patching, sanding and priming, is a $175 line of its own, apart from the painting. It shows where the hours went on walls that needed work before any color went on.

How should I itemize a painting invoice?

Break down by room or area, listing surface prep, priming, and painting as separate items. Include paint brand, color codes, finish type, and number of coats. Separate labor from materials so customers can see what each costs.

Should I charge for surface preparation separately?

Yes. Prep work (patching, sanding, priming, caulking) takes real time, and listing it separately shows the customer where that time went.

How do I handle paint color changes mid-project?

Include a change order policy in your terms. Color changes after work has begun mean additional material costs and labor for repainting. Document the original and new colors on the invoice.
