What goes on a cleaning invoice

Four details make this a cleaning invoice rather than a generic one. Each has its number in the sample’s margin, from the top of the page down.

    How often, and the next visit

    Every two weeks, drawn as a line: the visits already done in ink, this one filled in, and the next, two weeks from today, in grey dashes because it has not happened yet. A recurring client sees when you are coming back without having to ask.

    Every room and task

    The Rooms table lists each room with what was done in it: the inside of the oven in the kitchen, two loads of laundry with the bedrooms, twelve interior windows. It is the clean, written down, so a question about the bathroom has an answer.

    What was skipped, and why

    Home office: skipped, at your request. Written down, it settles before anyone asks whether the room was missed or left out on purpose.

    Supplies: included, or a line

    Here the supplies are billed on their own lines, $15 of cleaning products and two HEPA bags, and the note under the first one says so. If supplies are part of your price, say that instead; either way the customer is not left guessing.

Cleaning invoice questions

How do I price cleaning services on invoices?

Flat-rate pricing based on home size, number of rooms and service type is easier for customers to read than hourly billing. List the base service and each add-on as separate line items.

Should I charge differently for deep cleans vs. regular cleaning?

Yes. A deep clean includes work a regular visit does not, such as inside appliances, baseboards and ceiling fans, so it is priced higher. List those tasks as separate line items.

How do I handle cancellations on cleaning invoices?

Put your cancellation policy on your invoice or service agreement: how much notice you need, and the fee for a late cancellation. When you charge that fee, list it as its own line item.
