What goes on a plumbing invoice

Five details make this a plumbing invoice rather than a generic one. Each has its number in the sample’s margin, from the top of the page down.

    Your license number

    Plumbing license #P-41207 sits under the company’s address, where a customer, an inspector or a home warranty company looks for it. Some states require the number on every bid and invoice; check yours, and print it either way.

    What you found, and where

    The main line is drawn from the cleanout to the city sewer, 72 feet, with the roots marked where the snake met them, 38 feet out. If the line backs up again, the next visit, yours or another plumber’s, starts at that distance instead of starting over.

What should a plumbing invoice include?

A plumbing invoice should include your license number, business details, customer info, a description of the problem diagnosed, labor hours and rates, all parts and materials with costs, any permit fees, warranty terms, and payment due date.

Should I charge a service call fee separately?

Yes, and decide before the visit what happens to it when the customer goes ahead with the repair. If you credit the fee against the work, show the credit as its own line under the fee, so the customer sees both the charge and the credit. If you don’t credit it, say so when the visit is booked, so the fee is no surprise on the invoice.

How do I handle warranty claims on invoices?

Write a new invoice for the callback rather than changing the old one. Put the original invoice number and date on it, list what you did, and mark the covered lines as a warranty repair at no charge. Anything the warranty doesn’t cover, such as a second repair the customer asks for while you are there, goes on the same invoice as an ordinary priced line.
